Tips To Keeping Financial Records Organized
It never seems important to keep financial papers organized - that is, until the Internal Revenue Service comes calling! You'll want those papers at your fingertips, too, if you want to verify a payment or get a loan. Save yourself the panic by getting the job done now.

Just the basics:

  1. Buy a file cabinet and sturdy hanging folders.

  2. Buy manila folders to go inside the hanging folders.

  3. Sort all your financial papers into piles and stack them chronologically.

  4. Put your bank statements, credit information, bill stubs, paycheck stubs, receipts, tax information, real estate papers, investment papers, insurance policies and statements, loan agreements and any other financial papers in separate hanging folders.

  5. Further divide your tax information by year. Include tax returns, receipts, copies of W-2s, 1099s and other pertinent tax information.

  6. Divide the bill stubs by the companies they represent.

  7. Divide real estate papers by purchase/lease documents, home improvement receipts and so forth.

  8. Put passbooks, car titles, stock certificates and yearly Individual Retirement Account, pension and profit-sharing statements in a safe deposit box. (Store vital documents and valuables there also.)

  9. Keep your incoming papers, such as bills to be paid, in a separate place where they can be easily managed. Maybe in the Priority Folder System - The solution to your Inbox nightmare

Get the Cow off Your Desk And the Monkey off Your Back- Part Eight of Eight - Next month we'll give you our recommended shopping list for supplies to get started.
It’s all about paper flow and time management

PART EIGHT
Pile trays
Don’t even get me started on “pile trays”. I found that having only two stacking trays on your desk works best: one on top for your inbox and one below that for outbox or “to file”. Any more than that and they become pile trays that you will find yourself digging through just to find something.

Another way to do all this
I have many professional organizers with whom I’m affiliated. You may still want to hire an expert to help you do all this. One of my clients hired me because he knew he would never set aside time to do it himself, but when he brought me in, he would work with me as long as I was there. Perhaps you need that sort of incentive.

The Cow and the Monkey
So the Cow is gone, hopefully never to return. What about the Monkey? No, I haven’t mentioned the Monkey yet.

The Monkey works along with the Cow. It jumps on your back and wraps its arms and legs around you. It looks over your shoulder, and whispers in your ear:

“You’re the most disorganized person in the world, aren’t you?”

“You’ll never be successful with a mess of an office like yours.”

“Why don’t you do something about this? That’s just the way you are.”

Once you’ve gotten yourself organized using these easy methods, the Monkey will sing a different song.

“Look at that Cow. Wait…where did it go? Well, I guess I’ll be going, too.”

Good luck to you in your career, and may you find no Cow on your desk or Monkey on your back!

continued next month....look for the "shopping List".  NOTE* Would you like to have the entire chapter in book form including other chapters from other Executive coaches? (More information on the Power Tools Book and how to order.)

The top ten reasons we procrastinate: (in alphabetical order)

Here are the top ten reasons we procrastinate: (in alphabetical order)

Avoidance, Fear of failure, Feeling Overwhelmed, Lack of Commitment, Low Self-Esteem, Not A High Enough Priority, Perfectionism, Resentment, Undervaluing the Rewards, You Just Plain Don't Want To

In our quest for success and search for the easy answer, we must always ask the question “Why am I doing what I am doing?”

Many of us work hard in our job and day-to-day tasks of living and pleasing others. Then when its time for relaxation, we don’t know what to do. We are bored or have no motivation to do anything so we turn to the TV to “lose ourselves” Why do we do this?

I will give you the answer soon, but first lets get to the reasons people procrastinate.

1. Avoidance: We often disguise our avoidance by being very busy doing things that may be interesting, and even useful, things that don't contribute to our goals.

2. Fear of failure and self-doubt: Judging yourself as not good enough or worried that others won't like or accept you, you may keep putting off getting started or getting finished with a project. You may even convince yourself that failing at a small task will result in devastating consequences.

3. Feeling overwhelmed: This can directly related to not being able to get your thoughts around everything on your list. This bout of stress can be more related to the large amount of commitments you may have.

4. Lack of commitment: No desire to get the job done, no matter what because of the inability to distinguish between what is important and what is unimportant.

5. Low Self-Esteem: You may insist upon a high level of performance even though you may feel inadequate or incapable of actually achieving that level.

6. Not A High Enough Priority: You have challenges evaluating your obligations and demands and prioritizing them.

7. Perfectionism: This can lead to "starts and spurts" in your performance, meaning that you go on a cleaning spree, or attack a task with great energy and then slump back in exhaustion after having exasperated, irritated, or alienated everyone around you.

8. Resentment: When you tell yourself that you have to do something, you're implying that you're being forced to do it.

9. Undervaluing the Rewards: you feel that the effort to complete the task (almost any task) would not be worth the rewards.

10. You Just Plain Don't Want To:

You have no direction. You don’t take the time to figure out what’s really important. You go thru life accepting whatever comes their way, blaming others for the state of your life or better yet you make constant adjustments to accommodate others. You take whatever life throws at you. You may even be a “firefighters”, an out of control “pleaser” making the agenda of others or the quest for the almighty dollar the reason do what you do. Why is that?

Joke of the month
Workplace Farting: Options Explored

Whether the cause is a previous night of drinking or a big lunch, the outcome is the same: Farts.
Seventy percent of the time, we can dispense freely. The other 30% of the time, such as at work, we have some tough decisions to make. This document is intended to help you in those decisions.

Holders - The obvious choice is just plain holding it in. A popular choice among the females and an almost impossible choice for males. I am not in favor of holding, as I believe the medical community has not done enough research about the long-term damage of holding. Really, where does it go if you hold it in? So be forewarned, using this tactic is to be done at your own risk.

Desk Jockey - When deciding to release right at your desk, one has many factors to consider:
- Do you have your own office? Feel free to fart at will. After commencing, I highly recommend locking the door and feigning you are not in the office to avoid any unwanted visitors. I also highly recommend against spraying air freshener, as the smell of the freshener is a dead giveaway. Candles are a good alternative solution for the females.

- Are you seated at a cubicle or open desk? If so, one has to consider the proximity of the other workers and the density of workers in the area. If it is just you and one other person in the area, there is nowhere to place the blame. If others are fairly distant to you, the smell will dissipate by the time it reaches the others on all but the most egregious of days. There is always the chance of dispensing at higher decibels than anticipated due to the highly unstable nature of farts. In these most unfortunate situations, you will have to use cover up sounds such as scraping your heal on the floor. I recommend practicing making sounds covering a wide range of tones and pitches in anticipation of such an event. Dropping objects such as staplers, binders and tape may not produce a similar sound, but if done in rapid succession could distract others from the initial event.

Meetings: - Sometimes the urge strikes at the most inopportune time. Meetings and gas really do not mix. Releasing at a meeting is by far the trickiest of all the situations one could find oneself in. Although I am against holding in general, a meeting may be the time for it. It really depends if you have established baseline farts before the meeting. This will give you a sense of the decibel and scent level of what is to be expected. Warning: Do not ever use a meeting as the place to establish a baseline. Of course none of the above applies if you are meeting with vendors. You have free reign to do whatever you like.

Aisle Walker: - Releasing while walking around the office is a popular option. By the time the scent disseminates, you should be nowhere near the scene of the incident. The added benefit is that if the release is done at higher decibels than anticipated, you can break out into an all out sprint thereby fleeing the scene before others even look up to notice.

Broom Closet: - One option is to find a broom closet and release inside the closet. The only drawback is explaining why you were in the broom closet if you are caught entering or leaving the closet. I found stashing stationery supplies in the closet provides a nice excuse. People will love you for informing them about the backup stationery supply cabinet. Of course, you then have to find another closet, as your original place will become too risky.

And remember, if you're workplace has many open flames, you are on your own.
